Position Summary: The Out of District Secretary will perform varied and moderately complex clerical and recordkeeping work involving proficiency in data entry, word processing, graphics, and statistical report preparation; performs duties requiring diligent exercise of judgment and initiative as required to support the Coordinator of Internal and External Support. The Out of District Secretary does related work as required.

 

Key Responsibilities & Essential Duties:

  1. Supports the Coordinator of Internal and External Support with Transition and Out of District responsibilities
  2. Creates and maintains status of DCIU, APS, and private school referrals; including 4010/4011 placement opportunities
  3. Out of District Extended School Year (ESY) Support
    1. Service Provider and parent contacts
    2. Maintain records of Instructional Assistant annual Highly Qualified hours
  4. Supports Coordinator with Early Intervention Onboarding
  5. Maintains student electronic as well as hard copy Special Education records for out of district and residentially placed students fills out of district student records requests
  6. Coordinates entry of report cards, transcripts, and attendance information for out of district students into the Student Information System. 
  7. Monitors attendance, sends truancy letters, and reports truancy information for out of district students
  8. Coordinates and monitors New Student Onboarding by collaborating with multiple departments for seamless entry of newly enrolled in-district students
  9. Supports compliance of in-district student special education documents
  10. Types materials which may be of a confidential nature; organizes and maintains files, records, guides and rule books; screens and routes office mail.
  11. Secretarial duties (such as scheduling, mail, typing, filing, answering telephone, receptionist, duplication, correspondence)
  12. Perform other duties as assigned by Special Education Services administrators

Current clearances as required by PA Department of Education: 

  1. Copy of Act 33(PA Child Abuse History)
  2. Copy of Act 34(PA Criminal Background Check)
  3. Copy of Act 114 (FBI Fingerprinting Background Check)
  4. Copies of Act 168 (Sexual Misconduct/Abuse Disclosure Release) forms from prior employers.
  5. The Office of Human Resources will administer a battery of pre-employment tests to all secretarial support staff candidates

Working Conditions & Physical Requirements:

 

Level of Compensation: Commensurate with Experience (Range: $16.78 - $18.53/HR)
